Business Continuity Plan
March 2026 · Owner: Vilmer Frost, CEO · Review: Annual
1. Purpose
This plan ensures continuity of BatchCortex services and protection of customer data in the event that the primary operator (Vilmer Frost) is temporarily or permanently unavailable, or in the event of infrastructure failure.
2. Key Personnel
| Role | Primary | Backup |
|---|---|---|
| CEO / Technical Operations | Vilmer Frost | To be formalized |
| Data Protection Officer | Vilmer Frost | To be formalized |
| Customer Communications | vilmer@batchcortex.com | Backup email to be configured |
BatchCortex is actively building its advisory network and plans to formalize backup operational contacts before commercial deployment. Current operational continuity relies on automated infrastructure and the measures described below.
3. Infrastructure Continuity
| Service | Continuity Measure |
|---|---|
| Platform hosting (Vercel) | Managed infrastructure with automatic failover. No single-point-of-failure. Continues operating without manual intervention. |
| Database (Supabase) | Managed PostgreSQL with automated backups (daily, 7-day retention). Point-in-time recovery available. |
| Edge agents | Operate autonomously with local SQLite buffering. Continue collecting and storing data during platform outages. Auto-sync on reconnection. |
| Escalation system | Twilio-based, operates independently of dashboard availability. SMS and call escalations function even if the web dashboard is unreachable. |
| DNS / Domain | Managed via registrar with multi-year registration. No single-person dependency. |
4. Data Access and Recovery
4.1. All customer data is stored in Supabase (Stockholm, Sweden). Database credentials are stored in encrypted environment variables on Vercel.
4.2. In the event of prolonged founder unavailability, designated backup personnel will be provided with documented procedures to: access the Vercel dashboard, initiate database exports for customers, and manage the Supabase console.
4.3. Customer data export can be initiated by any authorized person with Supabase console access — the process is documented and does not require custom code.
5. Customer Data Return
If BatchCortex ceases operations:
- 5.1. All customers will be notified with 90 days' advance notice (or as much notice as circumstances permit).
- 5.2. Full data export will be provided to each customer in standard formats (CSV, JSON, PDF for reports).
- 5.3. Following confirmed export, all customer data will be deleted with certification of destruction.
- 5.4. Immutable audit trail records will be provided as a final archival export before deletion.
6. Insurance
BatchCortex is evaluating professional liability insurance and cyber insurance policies for implementation before commercial deployment. This section will be updated with policy details when in place.
